BuyerForesight Events Concierge (BEC) – Event Planning Specialist

Summary

Full-Time Position – Kolkata, Bengaluru

We are seeking an experienced Event Planning Specialist to join the BuyerForesight Events Concierge (BEC) Team within the Hub sub division. The BEC team is crucial in delivering exceptional experiences and enhancing client satisfaction at every event program hosted by BuyerForesight. As an Event Planning Specialist, you will play a pivotal role in the smooth planning and execution of each program, ensuring quick turnaround times and flawless execution. The ideal candidate will have prior experience in concierge services, event research, and CXO event management roles.

Key Duties and Responsibilities: (other duties maybe assigned)

Requisition Delivery

  • Coordinate and manage all requisitions for programs from initiation to  completion
  • Collaborate with clients and internal stakeholders to gather requirements, establish objectives, and define deliverables
  • Leverage internal database for vendors matching requisition criteria, plan and execute acquisition
  • Liaise with vendors to procure necessary services and supplies, ensuring alignment with client requirements and budget allocated
  • Collaborate with FinOps to close and negotiate favorable contracts with vendors

Program Planning & Management

  • Oversee end-to-end requisitions for specific programs, ensuring smooth coordination and execution
  • Develop comprehensive event plans including budgets, timelines, logistics, and resources
  • Manage on-site execution as needed, providing support and troubleshooting
  • Handle special requests from clients, such as custom experiences, celebrity appearances, guest speakers, therapy sessions, swag items, and technical requirements
  • Coordinate event setup, operations, and teardown to ensure seamless execution
  • Supervise staff, volunteers, and vendors to maintain quality standards and adhere to event timelines

Event Experience 

  • Research and procure unique and personalized offerings to enhance the event experience and meet or exceed client expectations
  • Conduct post-event evaluations to assess program effectiveness and identify areas for improvement
  • Compile event reports and documentation summarizing key outcomes, feedback, and recommendations
  • Address special requests from clients and source specialized services to enhance the overall event experience

Requirements

  • 8-10 years of experience in hospitality, event management, or related fields; a relevant degree is highly desirable
  • Ability to work with global requirements in multiple time zones, multi cultural teams, and high-pressure environments
  • Proficiency in Google Workspace/Drive, Zoom Conference, and Microsoft Office
  • Analytical mindset with the ability to form insights based on data
  • Strong skills in communication, negotiation, problem-solving, flexibility, adaptability, time management, and discipline
